Therapy services pricing

Cerebral Palsy Alliance (CPA) is here to support our clients achieve their goals and outcomes. We pride ourselves on our multi-disciplinary approach to meeting your needs and goals, providing a range of different ways to meet those needs. These include direct face-to-face sessions, as well as work conducted on your behalf. Our service can involve team and resource coordination, sourcing technology and equipment, obtaining quotes, liaising with relevant parties, writing reports, documenting assessment outcomes, developing resources, and collaborating with key stakeholders to support your goals.

CPA’s Therapy Services are billed at the NDIS hourly rate and based on the time taken.

We ensure transparency in our charges and all activities are directly related to the goals our clients aim to achieve. We do not charge for back of house administrative costs such as intake, rostering or submitting claims. 

Indirect Pricing

Indirect time (also known as non-face-to-face) is any work that a therapist completes for a client before or after their in-person appointments. This work is an important part of our therapy services, to ensure that we are providing holistic, quality services that support our clients to achieve their goals, as well as to meet medico-legal guidelines. Charges for indirect work are outlined in our service agreements. 

Session preparation and notes

CPA has a standard 15 minutes of indirect activity on top of every face to face or telepractice appointment to provide essential preparation, planning and notes.  This preparation helps CPA – and our clients – get the best outcomes from each therapy appointment. 

Session preparation includes reviewing your goals and previous progress notes from the team, which inform the preparation of a high-quality session.   

Session planning includes selection of activities, toys, resources, assessment resources, and setting up and packing away a room.   

Session notes include writing simple progress notes and appointment notes that can be viewed in your MyCPA App.  

Examples of additional indirect charges

The indirect activities outlined below will be charged in addition to the session preparation and notes charge where applicable:

  • We take time to plan your service based on gathering the right information, spending time interpreting your assessment results, and completing targeted research so we can support you to meet your individual goals. 
  • There may be times that your clinicians need to discuss your plan to ensure the service best supports your needs.
  • Collaborating directly with you allows us to plan therapy services together, discuss and review current goals and progress. This may include phone calls, video calls or email.
  • There may be times when we collaborate with others to ensure the key people in a client’s life are working together to deliver client outcomes.  These may include other therapy providers, medical teams, schools, support workers, day program, accommodation services, Coordinators of Support, and the NDIA. We can do this via phone & email.
  • These are reports that are required by the NDIA for clinicians to complete and submit throughout your NDIS plan. These are to support you to get the plan you need. Examples include AT Application & Service Review Reports.
  • This also includes time that your clinicians may take in developing and reviewing your safety and health plans. These plans assist to ensure you are supported safely. Safety and health plans include mealtime management plans, manual handling and transfer plans, behaviour support plans and reports.
  • If you require your clinician to provide a report or letter that is not required by the NDIA and is within our scope we are also able to do this at your request. This may be letters to schools, medical teams or other therapy providers etc.
  • If you require resources to be created for use at home, school or in the community to support therapy activities we can do this activity. This may include visual schedules, home practice programs, and programming of communication devices.

Therapy Travel Costs

Where your therapist travels to deliver services at your home or preferred location, the following travel costs will be charged in alignment with NDIS pricing:

  • Travel time: charged at 50% of your agreed therapy hourly rate. Depending on your location, it is either 30 minutes (city and regional centre locations) or 60 minutes (regional locations) each way. For remote and very remote locations, travel time costs are agreed with you in advance.
  • Non-labour travel costs: these cover the cost of operating and maintaining the vehicle used to travel to your appointment and are charged at $1.00 per km to and from your location.
  • Travel costs are only charged where travel is directly related to delivering your session. Where your therapist visits more than one client in the same area, travel costs are shared between clients.
  • Travel costs will appear as separate line items on your invoice, clearly showing your therapy session, travel time, and non-labour travel costs separately. This ensures you can easily see and review exactly what has been charged.

Frequently Asked Questions

When our therapist travels to deliver your therapy, the NDIS allows providers to charge for both the therapist’s travel time and the distance travelled. CPA applies these charges in line with the NDIS Pricing Schedule and your service agreement. We also ensure to keep travel costs as low as possible by planning appointments efficiently and sharing travel wherever possible. 

Yes. Travel time is capped based on where the service is delivered, in line with NDIS rules. If CPA ever needs to charge above the travel cap in exceptional circumstances, this will be discussed with you before the service agreement is issued. 

Estimated travel costs are included in your service agreement before services begin so you have visibility upfront. Actual travel charges are based on the travel required on the day. We always take reasonable steps to minimise travel and share travel costs between participants wherever possible. 

Yes, where applicable. Kilometres travelled for off-site appointments will be charged separately from travel time under a Travel – Non Labour item. You’ll see these separately on your invoice. 

Yes. If a therapist travels specifically for your appointment only, you will be charged for the full trip, including return travel. Where therapists see multiple participants during the same trip, travel costs are shared wherever possible. 

For short-notice cancellations, travel time may still be charged, but kilometres will not be charged. The related Travel – Non Labour item will be cancelled without charge.
